How to add a new user to your account

When a new storekeeper, checker, or supervisor joins your team, you can give them their own Fast WMS login in a couple of minutes. Each user gets their own username so that every GRN, putaway, pick, and dispatch is stamped with who did it — that individual audit trail is one of the main reasons to avoid shared logins.

You need the Admin role to create users. If you do not see the Users screen, ask whoever owns the account to grant you rights, or see Setting user roles and permissions.

Check your active-user cap firstFast WMS licences include a fixed number of active users. The system re-checks this limit every time you create a user. If you are at the cap, the save will be blocked — deactivate a user who has left, or contact us to raise the limit before you start.

Create the user

  1. Log in as an Admin and open Masters → Users from the tile menu.
  2. Click Add User. Enter the person's full name, a unique username, and a temporary password.
  3. Assign the store or warehouse they will work in. Users only see the stores mapped to them, which keeps a multi-store or 3PL operation tidy.
  4. Choose a role — for example Storekeeper, Checker, Dispatch, or Admin. The role controls which menu branches and screens the user can open.
  5. Save. The user is now active and counts toward your licence cap.
  6. Share the username and temporary password securely and ask the user to change the password on first login.

Deactivating a user who has left

Do not delete users who have transaction history — deactivate them instead. This preserves the audit trail on every document they touched while freeing a licence slot for a new joiner. Open Masters → Users, find the person, and switch their status to inactive. They can no longer log in, but their name still appears correctly on past GRNs and dispatches.
