Handling short or excess delivery at GRN
Not every delivery matches the purchase order. Fast WMS validates what you actually receive against what was ordered, so shorts, excesses and damaged goods are handled cleanly — without breaking the PO or the audit trail.
When you receive against a purchase order, Fast WMS shows the pending quantity — ordered minus already received — for each line, and checks your entry against it. That single control is what keeps deviations honest: you record exactly what arrived, and the system keeps the PO's outstanding balance accurate.
Short delivery
If less arrives than was ordered, enter the actual received quantity. The PO line stays partially open with the remaining balance as pending, so you can receive the rest against the same PO when it turns up on a later delivery. Nothing needs to be forced or overridden.
Excess delivery
Fast WMS will not let you receive more than the pending quantity against a PO line. If a supplier sends genuinely un-ordered stock, use a free-hand receipt (a receipt without an ASN) to bring it in as a separate document, keeping it distinct from the PO.
Damaged or suspect stock
- Receive the good stock as normal with an OK disposition.
- Set damaged or suspect quantity to HOLD or DAMAGE. The pallet is created with a hold or damage status, so it is not pickable.
- Release or scrap later. Once inspected, release a held pallet back to available, or keep it out of stock if it is scrapped — every change is logged.
Resist the urge to "make the numbers work" by receiving a round figure. Record what physically arrived — short, exact or damaged. The pending-quantity check and HOLD/DAMAGE dispositions exist precisely so your book stock matches the floor and your supplier claims are backed by clean records.
